Virtual meetings are a standard feature of today''s business landscape, but they pose distinct obstacles that can undermine their effectiveness. For one thing, it''s difficult to establish camaraderie - so essential to the natural flow of ideas - from a distance. This article outlines how to optimize the success of your virtual meetings by: (1) making them more interactive; (2) using technology to enhance communication and collaboration; (3) knowing when to hold a virtual meeting and when not to; (4) leveling the playing field so that every participant feels engaged; and (5) establishing a zero-tolerance policy for e-mail and instant messaging.
When you lead a meeting, assign a scribe to take minutes. Use this form to keep track of the issues discussed, decisions made, and action items created during the meeting. After the meeting, use the information to follow up, identify next steps, and communicate them to all meeting participants and any other stakeholders interested in the meeting results.
To make meetings more productive, include the purpose and outcomes in the agenda and assign clear roles such as chair and note taker. Establish meeting norms, clarify decision-making options, and manage participation while periodically checking the process and handling conflicts. Ensure proper closure, set next steps, and allow for post-meeting feedback to continuously improve effectiveness.
You may not be able to predict all the bad things that could happen in a meeting. But there are some general patterns of meeting flow and participant behavior you can prepare for. To manage common meeting problems, be prepared with these techniques:
Disciple-making ministries make disciples who make disciples. As individuals grow in their faith and its expression through life and ministry, disciple-making disciples need to be developed. As emerging leaders are entrusted with new responsibilities, their further development and growth in faith is vital. Leaders are learners. As leaders develop new vision and opportunities for mission and ministry will emerge - which in turn can lead to new opportunities for outreach and evangelism, spiritual growth & development, and ministry & service. Disciple-making ministries should always be forward-looking, developing and encouraging emerging leaders and an expanded vision for ministry in their community and world.
Every corps, regardless of size needs a framework to support the mission. A governance model is the framework to align communication and decision-making with the objectives of the corps.
